Terms and Conditions
All Rentals are subject to the full terms and conditions contained on the Rental Agreement.
Cambridge Car and Van Rental are known as 'CCVR' in this document.

1) Rates

Rates and availability are subject to change without notice. Rates featured are for guidence only and your rental rate will only be confirmed and guarenteed at the time of reservation. Unless otherwise stated, rates include; unlimited mileage, third party liability insurance, collision damage waiver (CDW), theft protection and local tax (VAT). While we do our best to provide the correct price online, the rental price is vaild at the time of payment and confirmed reservation. Should this be different to the price quoted online, we will contact you before payment is taken.

2) Hire Period

Rental days are based on 24 hour periods (unless stated) starting at the time the vehicle is collected. Weekend rentals start on Fridays and finish Mondays (unless stated at the time of reservation). From Friday AM the minimum rental period on any vehicle is one day and the latest return time on a Saturday is 09:30am. From Friday PM or Saturday AM the minimum rental period is for the weekend at the weekend price only - vehicles returned early will not be refunded. During 'Special Dates' the minimum rental period may be different, please check with a member of staff for details.

2.1) If you need to extend your rental you must obtain authorisation for the rental location before the agreed expiry date. Additional days will be charged based on the original agreed rental rate at the time extension.

2.2) Late returns will be subject to an additional charge.

2.3 Vehicles must be returned within branch opening hours. CCVR do not provide out of hours drop off facilities, and therefore any returns where the keys are put through the letter box will void the insurance for the rented vehicle and may be subject to a call out charge. The renter will be liable for any damage, parking or other charges incurred.

3) Vehicle Types

The models illustrated are for guidence only. Vehicle makes and models may vary and CCVR reserves the right to substitute an alternative (similar or larger) model when the vehicle reserved is not available.

4) Driver

Only drivers apporved by CCVR are permitted to drive the vehicle. A supplement may apply for additional drivers. The minimum age and maximum age for drivers is shown in the table below. CCVR hire selected vehicles to 21-22 year olds where a surcharge and conditions apply. Please call us on 01223 464045 for more details.

4.1) A full valid driving licence must have been held for at least 12 months (24 months if the driver is under 25) at the time of rental. The licence must be produced at the time of rental, photocopied or faxed licences will not be accepted. The new UK licences are made up of two parts (the counterpart and ID card). Both parts must be produced at the time of rental. CCVR reserve the right to refuse rental or phone the DVLA for a licence check at the cost of a surcharge should the counterpart of the licence not be produced at the time of rental. CCVR reserve the right to refuse rental should the licence not prove the driver has been driving for more than 12 months (or 24 months), please check the valid from dates on your licence. Previous editions of the licence will be accepeted as proof that the driver has held a licence for more than one year. For rental of Group #MB1 (125cc) a CBT and Provisional Driving licence is a minimum requirement, and BOTH must be produced at the time of hire (A DVLA call can not be made).

4.2) European Union Licences are valid in the UK up to the expiry date. Foreign Licences must be held for 3 years + and are valid for up to 12 months from the date of entry into the UK. After that period a Britsh Licence must be applied for. International Driving Permits are valid for 12 months. International Driving Permits issued in the UK are not valid. An International Driving Permit will be requierd for drivers from non-EEC speaking countries. Non-EEC Driving licences should be in "Roman Script" (i.e not Arobic or Greek alphabet etc). Licences that are not in "Roman Script", must be accompanied by an International Driving Permit.

4.3) The driver must be licensed to drive the vheicle hired, with particular regard to people carriers and minibuses (UK licence group D or D1). Drivers with Automatic only licences cannot drive vehicles with manual transmission.

4.4) Any endorsements, motoring offences or restrictions (medical or otherwise) should be declared at the time of reservation as this may affect your rental.

4.5) The driver of the vehicle will be required to bring another form of ID. Acceptable forms are with a current address on - such as utility bill or bank statement. Your driving licence can not be used for this.

4.6) Drivers at the age of 25 years + are able to have 1 fault accident in the last 5 years. Drivers between the ages of 21-24 must be clear of any accidents in the last 5 years.

4.7) Should CCVR refuse rental due to any of the above (4.1 to 4.6) not being declared at the time of reservation, CCVR reserve the right to charge a cancellation fee (see 8.2).

5) Damage Excess

All vehicles have an insurance excess. In most cases this can be reduced by paying our Excess Reduction (EXR) charge. This is subject to the driver's age and vehicle type. Please refer to the below table. The full excess may be taken at the time of rental (the full excess will be refunded within 7 days of return should the vehicle be returned with no additional damage). The excess amount on the rental is as high as the youngest drivers excess on the vehicle.

6) Loss or Damage to Vehicle

Where rates include third party liability insurance, CDW and TP - the liability of the renter for damage is restricted by an excess. Liability for loss of use may apply. Optional Excess Reduction (EXR) to reduce this liability further may be offered (subject to rental conditions). The excess liable may be taken at the time of rental.

7) Rental Restrictions

Vehicles should be returned to the rental location. Vehicles must not be taken outside mainland England, Scotland and Wales unless agreed with CCVR beforehand and the relevant documentaion required issued to the renter/driver. You must inform CCVR at the time of reservation if you intend to drive out of the country as this may affect your rental price.

8) Reservation Payment Procedure & Cancelations

Full payment must be made at the CCVR location in Sterling. CCVR accept payment by Credit or Debit card. Visa Electron, American Express and Diner Cards are not accepted. We reserve the right to take payment of the rental cost at the time of booking.

8.2) CCVR reserves the right to charge 100% of the reservation as a cancellation fee for late cancellations or no shows. Late cancellations are within 48 hours of the hire start time agreed at the time of reservation. CCVR reserve the right to increase the cancellation time period at the time of reservation with notice.

Should the reservation date be changed within 48 hours of the start date/time, the reservation will then be non-refundable even if it is cancelled outside of the 48 hours notice in the future.

'Special Dates' have a no refund cancellation policy.

8.3)Any bookings made as of the 09/04/09 on groups L, M1, M2 and M3 are non-refundable.

9) On Collection of Your Vehicle

A credit/debit card will be required at the start of all rentals for security purposes. The credit card may be imprinted and any additional charges due will be charged to it. As well as your driving licence you must also show identification giving proof of address (such as a recent bank/credit card statement or utility bill). Non UK residents must also show their passport.

9.1) A photograph of the driver will also be taken at the time of rental.

10) Delivery And Collection / Meet and Greet

Should these services be required, they must be requested at the time of reservation.

10.1) CCVR reserve the right to refuse to provide the delivery and collection service without notice, unless agreed at the time of reservation. The driver of the rental must be present at both delivery and collection of the vehicle. The rental location for this service is CCVR, Newmarket Road, Cambridge. All vehicles will leave this location full of fuel and must be full of fuel on return to this location. Vehicle collection time can not be guaranteed but the keys must be made available from a specified time at reservation.

10.2) CCVR reserve the right to refuse to provide the meet and greet service without notice, unless agreed at the time of reservation.
This service may be either:
-The driver being collected from a location and brought to CCVR Cambridge (in or out of our office hours) or;
-Taking the vehicle to the driver (in our out of office hours).
This service is used for Airports, Hotels and Rail Stations in and around the Cambridge area. A member of staff can validate on locations. The rental location for this service is CCVR, Newmarket Road, Cambridge. All vehicles will leave this location full of fuel and must be full of fuel on return to this location.

11)Fuel

CCVR run a Full to Full fuel policy from the rental location (CCVR Cambridge)

11.1) If the vehicle is received with less than a full tank, then this must be marked on the damage check sheet by a member of staff before the vehicle has been driven. The vehicle must then be returned with the same amount of fuel as received. If the vehicle is returned with less fuel, as stated on the damage check sheet, we charge a £4.75 + VAT refuelling charge plus per litre prices. These prices are advertised in our office. If a vehicle is returned with more fuel than it was received, Cambridge Car and Van Rental are unable to give a refund for this.

12) No Smoking Policy

CCVR run a no smoking policy on all rental vehicles and reserve the right to charge a fixed £50 valeting fee on return of the vehicle if the hirer has smoked or allowed smoking within the vehicle. This includes allowing cigarette smoke or ash into the vehicle.

13) 27 day + Rental

CCVR reserve the right to apply a mileage cap on 27 day + rentals.

14) Discounts

Discounts can not be used in conjunction with any other offers or promotions. Discount is given off the basic rental rate only (not including CDW, VAT or additional options). Cambridge University Cards or any other discounts can not be used with any other advertised promotions (i.e 'Special Dates').

14.1) Cambridge University Discounts can only be given should the driver hold a valid Cambridge University Card, which must be produced at the time of collection. If the driver is different to the individual paying, Cambridge University Discounts can also be given should the individual paying for the rental hold a valid Cambridge University Card, in which case the payment card and university card will need to be produced at the time of collection.

14.2) Frequent Renter Cards (free day) can not be used in conjunction with any other discounts, promotions or Cambridge University Discounts. Please check with a member or staff regarding overall price of a rental during 'Special Dates' when a free day is used.

14.3) Should a discount be requested at the time of reservation (Cambridge University, Frequent Renter Card, Vouchers etc.) but the relevent documentation is not produced at the time of collection, the discounted difference will be charged at the time of collection.

15) Motorbike Hire

CCVR do not supply a rider's helmet or any other protective or riding accessories. CCVR are not respnasable for any injuries during the rental due to none or lack of protection worn. UK lay states all riders must wear a helmet at all times.

16) Complaints

If you wish to make a complaint regarding the service you have received, please contact our counter staff via telephone (01223 464045) or e-mail (reservations@ccvrental.co.uk). If you feel your complaint has not been resolved, please write to us at Complaints, Cambridge Car and Van Rental, 303-305 Newmarket Road, Cambridge, CB5 8JE. Your complaint will be delt with within 5 working days.
